Queensland State Archives Copying Services

A fee based copying service is provided by Queensland State Archives subject to the conditions of access as stated within the Public Records Act 2002. All copying is subject to the condition of the records. Fragile and damaged records will be assessed by the Manager, Preservation Services and the appropriate copying format approved.

Quotes for copies of records held by Queensland State Archives (QSA) can be supplied if you can provide specific references, including the unique QSA Item Identification number (Item ID). Quotes cannot be provided when only an Agency or Series Identification is supplied.

Please contact info@archives.qld.gov.au to request a quote for copying of a record held by QSA that has been located in ArchivesSearch. Please email a completed copy of the copy quote form to QSA and a quote to supply a copy of the record will be returned to you. Once received, please forward the quote details and the correct payment to QSA to proceed with ordering a copy of the record.

Copying from Indexes

Photocopy services are available from several of our Indexes. If you find an entry in an Index please print the Index Order Form then post or fax your order with payment to QSA. Prices are listed on individual Index pages.

Payment options

Payments under $5.00 need to be made by cheque or money order in Australian Dollars only; payments over $5.00 can also be paid by Master card or Visa credit card via fax, post or email.

A $3.00 postage/handling fee is charged for orders under 100 pages. A $5.00 postage/handling fee is charged for orders over 100 pages.

Overseas orders

We accept payment in Australian dollars only. You can use Visa, MasterCard or pay by bank cheque. We do not accept overseas personal cheques.

Certified copies

Please specify when requesting copies of documents whether a certified copy is required. No extra charge applies for a certified copy. Please allow for extra time for the provision of a certified copy as the document will need to be sighted and certified by a Reference Archivist.

Do I need to provide specifications for digitisation?

Digital copies will be provided at the standard resolution of 300dpi, and as a JPEG file. Alternatively you may provide specifications. We will inform you if we cannot meet your specifications.

Copies are supplied on CD ROM. We do not email scanned images.

How will I collect my copies?

Copies are available for collection at the Reception Desk. Alternatively we can post you the copies (charges apply). QSA does not take responsibility for copies lost or damaged in the postal system.

QSA will not email digitised copies. Digitised copies will be downloaded to CD-ROM. The CD will be available for collection at Reception, or posted on request.

How long does it take to receive copies?

Our response times for copying requests:

  • under 20 pages usually available same day dependant on the time the order is placed
  • over 20 pages within 5 working days
  • larger than A3 format items within 5 working days
Reader/prints of microform material
  • self service copying is provided in the reading rooms
Online copy order services
  • within 10 working days
Digital
  • up to 20 pages within 10 working days
  • over 20 pages - please discuss with staff when the order is placed

Please note that these times do not apply for copying orders placed on a Saturday. No guarantee is provided that copying ordered on a Saturday will be completed the same day.

Can I copy original records myself?

Photocopying

There are no facilities for researchers to do their own photocopying of original records.

Microforms

Self service reader printers are available in the microfilm room. Digital scanning from microfilm to a researcher's own USB or CD is also available.

Photography and scanning

You may copy original records in the reading room using a digital camera. For further information about the use of a digital camera in the Public Search Room please refer to the Use of Personal Camera Policy.

Permission to photograph original records is subject to the items being in good condition. Records should not be damaged, bent or mishandled in any way. The use of a flash is not permitted.

Can I order copies from ArchivesSearch?

Quotes for standard copies of records located in ArchivesSearch can be requested using our copy quote form. Download and complete the form then forward it to QSA, to request a quote for copying. The form may be forwarded to QSA by filling in the form and clicking on the "Submit by Email" button at the top of the page. It can also be printed by clicking on the "Print Form" button (also at the top of the page) and then mailed to QSA.

An exact QSA Item ID reference must be supplied. Where there is an online index please use the index order form and the details given in the index.
